General Terms and Conditions for Participation in the 47th ISOBM Conference 2025: "A New Era of Biomarkers in Oncology" (October 13–16, 2025, Murnau)
1. Scope
1.1 These General Terms and Conditions (GTC) set out the terms for participation in the ISOBM Conference 2025 (hereinafter referred to as "the Event" or "the Conference").
1.2 These terms apply to all individuals participating in the Event. All gender-specific terms refer equally to all genders.
1.3 The event is conducted by Trillium GmbH Medizinischer Verlag, Jesenwanger Str. 42 b, 82284 Grafrath, Germany ("Trillium", Conference Agency) on behalf of the International Society of Oncology and Biomarkers (ISOBM), 14 City Quay, Dundee, DD1 3JA, UK, www.isobm.org ("ISOBM", Organizer). As the organizer, ISOBM bears the event risk.
2. Participation and Registration
2.1 Participation is reserved for medical professionals.
2.2 The Event will be held as an in-person conference at the Kultur- und Tagungszentrum Murnau (KTM), Ödön-von-Horváth-Platz 1, 82418 Murnau am Staffelsee, Germany. Registration must be carried out by submitting the online registration form on the event website: https://www.trillium.de/en/academy/isobm-conference-2025/registration.html.
This registration is binding upon submission.
2.3 After submitting the online registration form, participants will receive an automated confirmation email. However, the final booking confirmation (contract conclusion) will only be issued after full payment has been received. Participation in the event is only allowed once Trillium has received the full conference fee.
2.4 As the number of participants is limited, registrations will be processed in the order in which they are received. If the event is overbooked, no contract will be concluded, and any conference fees already paid will be fully reimbursed.
2.5 Travel and accommodation costs are not included in the conference fee.
3. Recordings
Trillium reserves the right to record the event and take photographs. By registering, participants consent to the recording, use, and publication of videos and photos by Trillium and ISOBM.
4. Posters/Abstracts
Participants may submit abstracts or posters to be presented at the event. Abstracts/posters submitted within the deadline will be reviewed by ISOBM for suitability. After review by the ISOBM Scientific Committee, a decision will be made on whether the abstract is accepted and whether it will be granted a presentation, a short presentation (poster speed talk), or a poster. The submitter will be notified by email regarding the acceptance or rejection of their submission.
Accepted abstracts and posters may be published in print and online channels by Trillium and ISOBM (e. g. Tumor Biology). By submitting an abstract or poster, the submitter agrees to this publication.
5. Copyrights/Confidentiality
Participants must respect all copyrights and other intellectual property rights related to the content provided during the Event. It is expressly prohibited to copy (e.g., take screenshots or record sessions), distribute, make publicly available, or remove technical protection measures or copyright notices from any content, in whole or in part.
The content of a presentation, abstract, or poster must be treated as confidential if explicitly indicated as such by the presenter/author. In this case, the content may not be shared outside the event.
6. Cancellation/Rebooking/Processing Fees
6.1 Cancellations must be made in writing to Trillium by letter, fax, or email at isobm[at]trillium[dot]de.
6.2 Cancellations made by August 31, 2025, are free of charge. For cancellations between September 1 and September 30, 2025, a cancellation fee of 50% of the conference fee will apply. After September 30, 2025, no refunds will be issued, and the full conference fee must be paid. No refunds will be granted if a participant is unable to attend the event on the scheduled dates.
6.3 Sharing login credentials for the online portion of the event with third parties is strictly prohibited. Rebooking to a substitute participant is allowed free of charge until September 30, 2025. 7. Data Processing
Personal data collected for contract fulfillment will be processed by Trillium/ISOBM in compliance with the General Data Protection Regulation (GDPR). By registering for the Event, you consent to the transfer of your data (especially your name, company affiliation, and email address) for organizational purposes to the International Society of Oncology and Biomarkers (ISOBM), 14 City Quay, Dundee, DD1 3JA, UK. Trillium and ISOBM will use the data exclusively for the purpose of Event participation and, if applicable, for invitations to future related events or scientific activities. 8. Right to Modify/Cancellation
8.1 Changes Due to Force Majeure or Pandemic-Related Restrictions
If the event cannot be held in its planned in-person format due to official orders, legal prohibitions, or other cases of force majeure—such as a pandemic—or if its implementation contradicts governmental or epidemiological recommendations, or if travel restrictions render the event infeasible in its intended scope, Trillium is entitled, at its reasonable discretion, to conduct the event entirely or partially in a digital format. This means that the in-person event may be fully canceled, and its content may be transmitted virtually, without granting participants the right to withdraw from the contract.
In the case of a virtual event, only the participation fees for the virtual format will be due, and any overpayments will be reimbursed. Individual program elements that are explicitly designated as in-person content and cannot be conducted virtually will be canceled without replacement.
8.2 Program Modifications
ISOBM/Trillium reserves the right—even at short notice before the event begins—to modify the event schedule, replace individual presentations, cancel certain sessions, or change speakers for important reasons. These changes are permitted only if they are reasonable for participants, necessary due to overall circumstances, and if the overall character of the event is preserved.
8.3 Workshops
Workshops will only take place if a sufficient number of participants register. Scheduling conflicts and overbooking cannot be ruled out. The final decision on whether individual workshops will take place rests with ISOBM. In such cases, there is no entitlement to participation.
If one or more workshops are canceled, the fee paid for the workshop day including the catering will not be refunded.
8.4 Bavarian Evening
Tickets for the Bavarian Evening are limited and registrations will be handled in a “first come, first served” manner. The final booking confirmation (contract conclusion) will only be issued after full payment has been received. Participation in the event is only allowed once Trillium has received the full registration fee. If the event is overbooked, no contract will be concluded, and any fees already paid will be fully reimbursed.
8.5 Event Cancellation
ISOBM/Trillium is entitled to cancel the event entirely for economic reasons (e.g., insufficient participant numbers or sponsor revenue) or due to other organizational or security-related factors. Participants will be informed of this without delay. In the event of a cancellation, participation fees will be fully reimbursed. However, any further claims—particularly for the reimbursement of travel and accommodation costs or compensation for loss of work—are excluded.
9. Liability
9.1 Participants acknowledge that ISOBM/Trillium shall not be liable for any claims for damages if the event is hindered or prevented by force majeure, including unforeseen political events (e.g., strikes), economic conditions, epidemiological outbreaks, or climatic circumstances. This also applies if program changes (e.g., due to speaker cancellations), a change of venue, or the transition to an online format becomes necessary.
9.2 Neither ISOBM/Trillium nor the KTM shall be liable for any damages or accidents that participants may suffer at the event venue (hotel, conference center, etc.). They are also not responsible for participants' personal belongings (e.g., coats, valuables). Participants are required to adhere to the house rules of the event venue.
9.3 ISOBM/Trillium does not guarantee the success of the event for individual participants. For online events, ISOBM/Trillium shall not be liable for technical issues, including data loss, hardware malfunctions, or internet disruptions. Additionally, Trillium is not responsible for any compatibility issues between the participant’s device and the software or hardware used for the online event.
10. Final Provision
Should individual provisions of these Terms and Conditions be or become invalid, or should a gap be identified, the validity of the remaining provisions shall remain unaffected. In place of the invalid provision, the valid provision that best reflects the intent and purpose of the invalid provision shall be deemed agreed upon. In the case of regulatory gaps, the provision that would have been agreed upon in accordance with the intent and purpose of these Terms and Conditions, had the parties considered the matter at the time of contract conclusion, shall apply.
